The Access Management feature allows you to provide privileged customers with exclusive benefits such as early access, discounts, VIP seating, or special ticket types using a access code. This helps create a more rewarding experience and gives selected customers a sense of exclusivity.
With Access Management, you can control who can view or purchase specific tickets, discounts, add-ons, or seats before they become available to the general public.
Before You Start
There are two types of access codes you can configure:
Single-Use Access Codes
These codes can be redeemed only once. You can either upload your own custom codes or allow the system to generate them automatically.
General Access Codes
These codes can be used multiple times by different customers.
Using Access Management, you can:
Offer presale access before tickets go on sale to the public
Unlock VIP or reserved ticket types
Provide exclusive discounts
Offer special add-ons
Release held seats
These options can remain hidden from the general public and become available only after a valid access code is entered.
A) How to Set Up a Presale
🎥 Watch the video below to learn how to set up a presale using Access Management.
You can also follow the step-by-step instructions below.
Step 1 — Configure the Online Sales Start Date
Consider your event is on 31st January, you could run a presale for privileged customers from 19th –20th November 2025 before opening general sales on 21st November 2025. In this case, select the Start Online Sales, as 21st November 2025 as shown in the following screenshot, how to access this page, click here.
Step 2 — Create an Access Code
Next, click "Access Management" followed by "Add Access Code."
Important:- The access code will remain valid even after the selected Presale period ends, although on the event description page, "Enter Access Code" will be replaced with "Get Tickets" users can still unlock perks by entering the code via “UNLOCK” button displayed at the top of the ticket selection page.
Step 3 — Configure Access Control
On the following screen choose the code type Single / General, enter the code as per your preference, choose "Access Control" from the list of options and select the START Date & Time and END Date & Time similar to your presale dates and click "Save."
Note:- To keep the Access Code throughout the event, meaning ticket buyer needs to enter the code to get the access to the ticket selection page, enter your event's start and end date & time in the Access Control's date field.
Step 4 — Presale Behavior
Although ticket sales are scheduled to start on a future date, the online store will require an access code to enter. Entering the correct code grants access to the ticket selection page and allows the purchase to be completed.
Notes:-
On 21st November 2025, the access code will be disabled automatically and replaced with "Get Tickets" offering ticket buying to General Audiences.
The online store will also indicate On Sale : Friday, 21 November, 2025, 10:00 PM as visible in the following screenshot.
B) How to Offer Exclusive Perks While Keeping Sales Open to All
🎥 Watch the video below to learn how to offer exclusive tickets, discounts, or add-ons to selected customers.
You can also follow the written steps below.
Step 1 — Select the Event
Go to the Box Office, select the event, and click Edit at the top right.
Step 2 — Add an Access Code
Click Access Management, then select Add Access Code.
Step 3 — Select the Access Code Type
Next, select the Access Code Type "Single / General" from the drop down as per your preference.
(a) General Access Code – In this type, you generate a code that can be used multiple times granting customers access to buy tickets exclusively through the Online Ticket Store once they input the code.
b) Single-Use Access Code can only be used once. You can either upload your own codes via a CSV file by clicking “Add My Custom Codes” or let the system create them automatically with “Auto Generate Codes” simply enter a code prefix and the number of codes you want to generate.
"Restrict Redemption" refers to the number of times the code can be used at the Online Ticket Store and "Restrict Tickets" refers to the maximum number of tickets that can be purchased in a single transaction.
Take a look at this example: Assume that you have set the "Restrict Redemption" as 50 and "Restrict Tickets" as 3, in this scenario 50 different customers will be able to make separate transactions and will be able to purchase a maximum of 3 tickets per transaction. So overall you can sell 150 tickets.
Note:- To download the system-generated Single Use Access codes after set up, mouse hover on the created access code and click on the download icon.
Step 4 — Configure Exclusive Perks
Now, that we have chose the Type of Access Code, it's crucial to set up the exclusive perks we would be unlocking after redeeming the code on the ticket selection page.
We could offer held seats, reserved ticket types such as VIP, VVIP, etc Discounts, and add-ons, which can remain hidden from the general audience but become available for online booking once the code is redeemed.
Select the relevant options such as Ticket Type and only enable the ticket types that you would like to offer after redeeming the code.
Important:- You should have atleast one ticket type disabled which would be available for General Audiences, otherwise the ticket selection page will display no tickets left.
v) Repeat the same process for other options too such as discount, Add-ons, etc.
Note:- The ticket types, discounts, Add-ons, we are enabling will be locked and wouldn't be available for general audiences. You'll find a Lock Icon against the options we have enabled as visible in the following screenshot.
C) How the set up would be displayed on the online store?
1) Since we’re offering exclusive privileges, we won’t set any dates, those are only used for Presale setups. As a result, the online store will not prompt for an access code, as shown in the screenshot below.
2) Instead at the top left of the ticket selection page, it displays an option of "Unlock" and only displays the ticket type which is made available for General Audience.
If tickets are been booked from the mobile, the "Unlock" option would be displayed at the bottom of the page.
3) That said, upon entering the correct code, it unlocks the exclusive perks such as hidden ticket type, Add-ons, Held Seats and Discounts, that is linked to that code, as shown in the following screenshot.
Final Tip
Access Management is a powerful tool for creating VIP experiences, presales, and exclusive offers, while still keeping your event accessible to the general public.
By combining access codes with hidden ticket types, discounts, and add-ons, you can create highly customized ticketing experiences for different groups of customers.
