Whether you are looking to switch tickets to a different event/performance or upgrade ticket types without refunding them, our Exchange ticket feature got you covered.
Before you start:-
- Currently, switching tickets is limited to only once per transaction.
- Multiple transaction tickets can be exchanged in a single attempt.
- Exchange tickets option wouldn't be available for Pay Later transactions (Payment Pending Transactions)
i) To Exchange tickets, we would need to access the Transaction Report, if you have the transaction number handy search the Transaction, using the search option available at the top.
You can also search the transaction using the Customer name, Ticket Number, Event Name, etc.
ii) If you don't have a Transaction Number handy, you can also find the transaction details, using the "Event Sales Summary Report" (How do I access it?)
Now click on "View Inventory Sales Report" available at the top right corner, customize the date options, and select the performance (In case of Multiple performances of the same event) to view all the Transactions.
iii) Upon locating the transaction, click on the transaction number and you will be redirected to "Transaction Report."
You'll be displayed all the tickets purchased for that transaction, and also a "Check Box" before the tickets, simply check the ticket you want to Switch or directly (all tickets selected) click on the "Exchange Ticket" option if you are looking to Exchange tickets for the entire transaction.
ii) Subsequently, the Exchange Transaction page will appear, automatically filled with the chosen transaction number, click Continue to Proceed.
In case, of exchanging tickets for multiple transactions of the same customer, enter the Transaction number or Ticket Number or Customer Name in the Search Field, click on "Search," check the box before the transaction number, and click "Continue" to proceed.
iii) Now you'll be displayed a calendar to select the event for exchanging tickets, clicking on "Get Tickets" will take you to the ticket selection page.
Note:
- The calendar will begin displaying the most recent events that are listed for ticket sales along with the number of tickets left in them.
- Dates would be highlighted only for those months that have been published for ticket sales.
- Only published and upcoming events would be displayed.
iii) Next, select the number of tickets or the ticket types you would like to exchange against the earlier transaction and click on "Checkout."
iv) Ticket Purchaser’s details such as Name and email address will be prefilled however you can select the ticket delivery method and the payment method.
Note:- If the current transaction value is more than the previous, you'll be displayed the balance amount that needs to be paid.
v) In case, if the current transaction value is less than the existing one, you'll be displayed the amount that needs to be refunded and the “Get Refund” button visible on the checkout page.
vi) Upon clicking on "Get Refund" you would be redirected to the Transaction Report, wherein you can select the mode of refund (Payment methods such as Cash, Card and etc) clicking on "Refund" will complete the exchange and also refund the difference to the ticket buyer.
Note:- For card transactions difference would be automatically refunded to the ticket buyer, for any other payment method you have to manually pay the difference.
vii) Once the exchange is completed, you will see "Exchange Transaction Completed."
